Nathan White Careers Privacy Notice
Last updated: 4 October 2026
1. Who I am
Nathan White Careers is operated by Nathan White, a sole trader.
Email: info@nathanwhitecareers.co.uk
Website: nathanwhitecareers.co.uk
I am responsible for how Nathan White Careers uses your personal information. Nathan White Careers is intended for adults aged 18 and over.
2. What information I collect
Depending on how you use Nathan White Careers, I may collect:
- your name, email address and account details;
- information about your career, experience, skills, goals and target roles;
- CVs, applications, personal statements, job descriptions and interview-preparation materials you choose to provide;
- event, course, booking and coaching information;
- purchase and transaction information;
- emails, messages, enquiries and support requests;
- feedback and testimonials;
- recordings, transcripts and notes where a session or event is recorded or transcribed;
- technical and usage information about how you use my website, emails, tools or apps; and
- your marketing preferences, including unsubscribes and opt-outs.
I get most of this information directly from you when you create an account, register for an event or free trial/taster, use a tool, submit a form, book a session, buy something, provide documents or contact me.
Some forms and bookings are provided through services such as Eventbrite, TidyCal, Tally and Stripe.
Sensitive information
I do not normally need sensitive information such as health or disability information, ethnicity, religion or sexual orientation.
Please avoid including this information in CVs, applications, forms or app inputs unless it is relevant to the support you are asking for.
If I do need to use sensitive information, I will only do so where the law allows it and, where appropriate, I will ask for your explicit consent.
3. How and why I use your information
I use personal information to run Nathan White Careers and provide the support you ask for. This includes:
- providing tools, resources, events, courses, coaching and app features;
- creating and securing accounts;
- reviewing CVs, applications, interview preparation and career information;
- answering enquiries and discussing support you may want to buy;
- managing bookings, payments, refunds and customer support;
- sending service messages such as confirmations, joining details, receipts, password resets and account information;
- improving, developing and protecting my services;
- sending relevant Nathan White Careers marketing where the law allows;
- recording or transcribing sessions where you have been told about this and permission has been obtained where appropriate;
- using testimonials where you have agreed to this; and
- keeping appropriate business, tax, legal and financial records.
The legal basis I rely on depends on what I am doing:
- Contract or steps before a contract — where I need your information to provide something you have requested, manage a purchase or discuss a service you are considering.
- Legitimate interests — where I have a reasonable business need to run, improve, protect or market Nathan White Careers and your rights do not override that interest.
- Consent — where I specifically ask for it, for example for certain marketing, recordings or testimonials.
- Legal obligation — where I need to use or keep information to comply with the law.
4. Marketing emails
Nathan White Careers provides free and paid support for public-sector careers, applications and interviews, including events, tools, courses and one-to-one support.
I may send you marketing emails where you have actively signed up to receive them or where the PECR soft opt-in applies.
I only use the soft opt-in where I collected your details directly while you were buying, or actively considering buying, a Nathan White Careers product or service; the later marketing is for my own similar services; and you had a clear opportunity to refuse marketing when I collected your details.
A genuine free trial or taster can sometimes qualify where it is clearly part of the related commercial service. Signing up for generic free content does not automatically qualify.
Every marketing email includes a way to unsubscribe.
You have an absolute right to object to direct marketing at any time. You can unsubscribe using the link in an email or contact info@nathanwhitecareers.co.uk.
If you opt out, I may keep a small suppression record so I can remember your choice and avoid adding you back to marketing accidentally.
Service emails
Opting out of marketing does not stop messages that are genuinely needed to provide something you have requested, such as account verification, password resets, booking confirmations, event joining details, receipts or delivery of a requested resource.
5. App, AI, recordings and testimonials
The Nathan White Careers app may provide interactive tools for public-sector careers, applications and interviews.
Information you provide may be used to generate questions, summaries, analysis, feedback or other outputs. Some features may use artificial intelligence.
Before introducing AI features that materially change how your information is used, I will make sure this notice accurately explains the relevant processing and providers.
I do not use the app to make solely automated decisions that have legal or similarly significant effects on you. AI-generated outputs can be incomplete or inaccurate and are designed to support your own judgement, not replace it.
Recordings and transcripts
Some events, courses or one-to-one sessions may be recorded or transcribed. Where this happens, you will be told and permission will be obtained where appropriate.
I may use Fathom for AI-assisted meeting notes or transcription. Recordings, transcripts or notes may be used to provide the service, create summaries, allow relevant content to be revisited and improve Nathan White Careers.
Testimonials
I only publish identifiable testimonials, names, images or similar material where I have permission to do so.
About this app
The Civil Service Applications introduction is intended for adults aged 18 and over.
During testing, signed-in access is limited to approved testers. Nathan White Careers keeps a list of approved testers' email addresses to control this access. If approval is removed, you can no longer access the protected parts of the app, but your saved answers are kept.
The welcome page, this Privacy Notice, the Terms of Use and the Contact page can be viewed without signing in.
Some buttons in the app open other websites, such as Eventbrite, TidyCal, Trustpilot, LinkedIn and TikTok. Those websites have their own privacy and terms.
Email updates aren't enabled in this beta yet. If you save a choice about email updates, it is kept in your account but is not currently sent to Kit.
Your answers are saved to your account. In normal use of the app only you can see them, and they are not shown in the admin dashboard. Authorised technical or support access to the stored data is possible where needed to run, secure or fix the service.
If you choose Share on a question, a fixed copy is shown individually to Nathan White Careers without your account name or email. Your words could still identify you.
Your ratings and tip choices are counted in combined reports. Individual answers are not shown in those reports.
The app records which pages you open, linked internally to your account, to understand how the introduction is used. These records are not anonymous and are deleted after 12 months.
Your summary is produced by fixed rules from your saved answers. The app does not currently use AI analysis, voice input or file uploads.
Want to access, correct or delete your personal information? Contact info@nathanwhitecareers.co.uk. You can ask for account deletion, marketing unsubscription, or both; one does not automatically cause the other.
6. Who I share information with
I use third-party services to run Nathan White Careers. Depending on how you interact with me, these may include:
- Kit — email marketing, forms and subscriber management;
- Eventbrite — event registration and administration;
- TidyCal — bookings;
- Google Workspace, Google Drive and Google Meet — email, documents, storage and meetings;
- Stripe — payments;
- Fathom — meeting transcription and notes;
- Lovable — app development and related services;
- Supabase — app database, authentication and infrastructure;
- GitHub — software development and code hosting;
- Resend — service and transactional email;
- Softr — online tools and services;
- Tally — forms;
- Zoho Mail — email;
- Name.com — domain-related services;
- Trustpilot — reviews; and
- Google Analytics — analytics where used.
These providers may process information on my behalf or, in some cases, for their own purposes under their own privacy responsibilities.
I do not sell your personal information.
Some providers may process information outside the UK. Where required, I use recognised legal safeguards for international transfers, such as UK adequacy arrangements or approved contractual safeguards.
I use reasonable security measures to protect personal information, including limiting access and using established service providers. No online service can guarantee absolute security.
7. How long I keep information
I only keep personal information for as long as I reasonably need it.
My current approach is:
- Client, app, application and service records — normally up to five years after your last meaningful interaction with Nathan White Careers. This helps me support people who return at different stages of their career.
- Free learning-app accounts — this rule replaces the five-year period above for these records. Accounts, saved answers and shared questions in the free learning app are kept while you use it, and become due for deletion after 12 months without meaningful use (for example signing in, opening the app while signed in, changing an answer or sharing a question). Records with separate legal, financial or paid-service requirements follow the other periods in this section. Page-visit records are deleted after 12 months.
- Event and booking records — normally up to five years where keeping the history remains useful for service administration or record-keeping.
- Raw recordings and transcripts — normally up to 12 months, unless there is a specific reason to keep them longer. Useful notes or summaries may become part of the general client record and be kept for up to five years.
- Marketing records — while you remain subscribed and the information remains relevant.
- Suppression records — the minimum information needed to remember an unsubscribe or objection may be kept for as long as needed to respect that choice.
- Financial and tax records — for the period required by applicable law.
I may delete information sooner if I no longer need it.
8. Cookies and analytics
My website and app may use cookies and similar technologies for things such as authentication, security, preferences and analytics.
Some technologies that are necessary to provide the service can be used without consent.
Certain analytics used only to understand how the service is used and improve it may also be used without prior consent where the legal conditions for the statistical-purpose exception are met. Where I rely on that exception, I will provide clear information and a simple, free way to object.
Where consent is required — for example for certain advertising, remarketing, profiling or other non-exempt tracking — I will not use the technology for that purpose until the required consent has been obtained.
9. Your rights
Depending on the circumstances, you may have the right to:
- access the personal information I hold about you;
- correct inaccurate information;
- ask me to delete information;
- restrict how information is used;
- object to certain uses of your information;
- receive certain information in a portable format; and
- withdraw consent where I rely on consent.
Not every right applies in every situation.
To make a request, email info@nathanwhitecareers.co.uk. I may need to confirm your identity before completing a request.
Remember that you can object to direct marketing at any time.
10. Contact, complaints and changes
If you have a question or concern about how I use your information, contact:
Email: info@nathanwhitecareers.co.uk
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data-protection regulator: https://ico.org.uk/make-a-complaint/
I may update this Privacy Notice as Nathan White Careers, its services or its technology develop. The latest version will be available through nathanwhitecareers.co.uk and will show the date it was last updated.
